REPORTS TO: Regional Portfolio Manager
POSITION SUMMARY: Responsible for the daily operations of the property.
CORE RESPONSIBILITES:
1. Manages administrative functions of the property.
2. Day-to-day operations according to standard operating procedures.
3. Supervises Administrative Staff.
4. Handle recordkeeping and reporting responsibility on a daily, weekly and monthly basis.
5. Maintain accurate records of income and expenses.
6. Responsible for the collection, posting, and depositing of rental revenue to include receiving, processing, and posting rents and security deposit payments.
7. Assists administrative efforts related to delinquencies, late notices, and evictions.
8. Maintain effective internal controls over bookkeeping and operational activities in compliance with performance manual.
9. Handle resident activities and resident complaints.
10. Process applications and lease renewals. Greet prospective residents and show apartments.
11. Assist new residents during the move-in process.
12. Handle administrative functions to include clerical and reception responsibilites.
13. Work with the Service Department to handle apartment turnovers, move-ins and move-outs, and work order requests.
14. Assist with staff management responsibilites to include supervising, training and development.
EXPERIENCE REQUIREMENT:
2 years experience in property management.
EDUCATION REQUIREMENTS:
High School degree or equivalent

REPORTS TO: Community Manager
POSITION SUMMARY: Responsible for the receipt, documentation, scheduling, coordinating and follow through to satisfactory completion of resident service requests for specific assigned residential apartment community; coordination, scheduling and preparation/turn over of vacant apartment units; research, plan, coordinate and supervise capital improvement projects; creation, enhancement; revision and implementation of preventative maintenance programs; hiring, training and supervision of service department staff; supervision and coordination of contracted laborers; oversee grounds maintenance and upkeep of curb appeal; respond to maintenance emergencies.
CORE RESPONSIBILITIES: (including but not limited to)
Repairs and maintenance in areas such as HVAC, plumbing, electrical, general carpentry, roofing, siding, drywall, carpet and vinyl installation, paint application, landscaping and snow removal.
Institute and manage systems for effectively handling resident service requests.
Perform, delegate, oversee and inspect all maintenance tasks.
Ensure that all make ready repairs and services are completed correctly and on schedule. Correct situations within 24 hours when possible. Inform customers of expected completion dates, and place follow up call on or about that date to verify work was completed to their satisfaction.
Develop specifications for grounds maintenance, snow plowing and cleaning done by staff and/or outside contractors.
Maintain awareness of the physical condition of the property and immediately correct unsafe conditions.
Maintain safety standards.
Maintain accurate records regarding preventative maintenance, service requests (received and completed), expenditures, apartment make-ready status, work in progress, etc.
Maintain service logs for all equipment including but not limited to such items as the truck, snow throwers, fire prevention systems, heating/cooling systems and the like as determined for prudent control purposes.
Keep Community Manager advised of significant operational problems and deviations from standard completion times.
Availability – Available 24 hours per day for emergency matters.
Pro-actively support the Community Manager in order to meet their needs for rentals in a timely manner.
Hire, train, motivate, coach, develop, supervise, discipline and terminate staff in order to achieve the operational goals of the property.
Conduct regularly scheduled meetings with staff.
Schedule staff for on-call duties to provide 24 hour emergency maintenance service.
Assist with the preparation of annual asset management plan.
Organize maintenance shop, keeping inventory of equipment and supplies.
Maintain adequate inventory of spare parts and maintenance materials to handle most common repairs and situations. Report all major repairs and requisitions to Community Manager prior to any expenditure of funds.
Monitor and maintain effective internal control over purchasing and other operational activities in compliance with company policies and guidelines.
Research, recommend and hire maintenance contractors and vendors, if necessary, and oversee their work.
Provide specifications for capital improvement projects and monitor bid process.
Continually investigate programs that may enhance service, increase profits, and reduce expenses, etc. in order to maximize the value of the property.
PHYSICAL REQUIREMENTS:

Climb stairs: work orders, turnovers for 2nd and 3rd floor apartments.

Reach above shoulder: perform routine maintenance/repairs, stock & remove equipment, parts, etc.
Climb ladders: perform routine maintenance/repairs.
Grasp/grip/turning: handle tools and equipment, perform routine maintenance/repairs.
Finger dexterity: handle tools & equipment, perform routine maintenance/repairs.
Writing: inventory maintenance, requisition parts, required maintenance reports.
Shoveling: snow removal, dirt, gravel, mulch.
Lifting/carrying (supplies, replacement parts, ladders, etc.):
Over 150 lbs.: rare need, less than 1% of the time.
75 lbs. – 150 lbs.: occasional need, 1-33% of the time.
25 lbs. – 75 lbs.: frequent need, 33-66% of the time.
-25 lbs.: constant need, 66-100% of the time.
Note: Lifting and carrying of weights exceeding 50 lbs. is to be accomplished with assistance from one or more persons. Examples of the heaviest items to be lifted include washers/dryers, refrigerators, A/C units, abandoned sofas, etc.
EXPERIENCE REQUIREMENT:
Three (3) years work history and experience in the field of on-site maintenance management, with an understanding of landlord/tenant matters, contractual negotiations, maintenance and construction issues and employee relations with an emphasis on strong interpersonal skills, basic computer skills.
EDUCATION REQUIREMENT:
High School Degree, 2-4 year college degree a plus

REPORTS TO: Community Manager
SUMMARY:
Shows and leases apartments, to prospective tenants. Interviews prospective tenants and records information to ascertain needs and qualifications. Accompanies prospects to apartments and discusses size and layout of rooms, available facilities, such as swimming pool, location of shopping centers, services available, and terms of lease. Completes lease form or agreement and collects rental deposit. May inspect condition of premises periodically and arrange for necessary maintenance. May compile listings of available rental property. May compose newspaper advertisements. May contact credit bureau to obtain credit report on prospective tenant.
CORE RESPONSIBILITIES:
1. Maintains records concerned with rental, sale, and management of real estate, performing any combination of following duties: Types copies of listings of real estate rentals and sales for distribution to trade publications, and for use as reference data by other departments. Computes interest owed, penalty payment, amount of principal, and taxes due on mortgage loans, using calculating machine. Sends out rent notices to tenants. Compiles list of prospects from leads in newspapers and trade periodicals to locate prospective purchasers of real estate. May open, sort, and distribute mail. May submit photographs and descriptions of property to newspaper for publication. Answers telephone
2. Marketing -- Manage the marketing program (which is formally included annually in the AMP) for the property. This should include marketing strategies, marketing costs including print advertising, direct mail, site signage, and so forth.
3. Communication -- Keep supervisor, and if directed to do so, owner, advised of significant operational issues.
4. Leasing -- Aggressively work to create and follow up on leasing opportunities for the property. Remain knowledgeable about the property’s current and projected occupancy status. Keep supervisor, and if directed to do so, owner informed of same on a regular basis.
5. Availability -- To work forty hours per work week. Be available for weekend and evening hours as required to insure continued high occupancy.
6. Reporting – There is variety of routine reports that are expected of this position. Examples would include; monthly financial & variance reports, weekly occupancy reports including three months projections into the future, marketing source analysis (i.e., advertising dollar cost per lease signed).
